How the Organiser View Is Laid Out

The Organiser View is what you see when you're signed in as an organiser, as opposed to the Sponsor Dashboard your Sponsors see. It's where you build your Event, manage Forms, and review Submissions. It has four main areas:

Area
Where it is
What it's for
Far-left rail
The narrow column down the far left
Holds Team Overview and Settings, the two account-level destinations that are always one click away. Your account menu sits at the bottom (see Your Account and Switching Companies)
Context selector
Across the top of the view
Shows where you are, your current Project and the Event if you're inside one, and lets you step back a level without returning to Team Overview
Main navigation
The sidebar of feature items beside the far-left rail
Move between features such as Forms, Submissions, and Themes. Its contents change depending on your context
Content area
The main panel on the right
Where the feature you've selected opens, such as your list of Projects, a Form, a Submission, your Settings, and so on

The key thing to remember: the Main navigation changes with your context. What you see depends on whether you're at Team Overview, in Settings, inside a Project, or inside a single Event. Team Overview and Settings are covered in detail just below, and Working Inside a Project or Event covers what changes once you're inside one.

If a feature seems to be missing, the usual reasons are your current context or your permission level. The Navigation tips and FAQs at the end of this article cover the most common cases.

Team members hold a role of member or owner for account and team-management purposes (see Add a Teammate in Sponsor & Exhibitor Manager Forms and Workflows article).

Team Overview

Team Overview is your home base, the highest level of the Organiser View and the first screen you see when you sign in. It lists all your Projects and the Events inside them, and is where you create new work and find existing work.

From Team Overview, you can:

•  Use AI Quick Start to build a Project from a sponsorship prospectus
•  Use the Create button to build a Project manually
•  Use the search bar to find a Project or Event by name
•  Filter your list using the Past, Upcoming, and All tabs
•  Sort the list by Soonest, Latest, Name (A–Z), or Name (Z–A)

A newly created Project is pinned to the top of your list with a "New" badge, making it easy to find right after you create it. The badge clears automatically once the Project ages out or gains its first Event.

An Event that is currently underway shows an "On Now" status instead of "Today," so multi-day Events that have already started are clearly indicated at a glance. Events scheduled later the same day still show "Today."

Team Overview is always available from the far-left rail, so you can return here from anywhere.

Settings

Settings is where you manage everything that applies across your whole account, rather than to a single Project or Event. Come here for reusable content, the people on your team, and your account history. Open it from the far-left rail, and access the following:

•  Form Templates: the Details tab shows the Template's field structure; History logs activity on it. See Form Templates in Sponsor & Exhibitor Manager Forms and Workflows article.
•  Themes: opens the same editor described in Themes: Customise Your Branding in Forms and Workflows article: Colours, Buttons, Cards, Layout, and Advanced.
•  Team users: the Details tab shows email, whether the email is verified or unverified, date joined, and last signed-in date and time; History logs when they were invited, joined, and last signed in. See Add a Teammate in Sponsor & Exhibitor Manager Forms and Workflows article for how roles, removal, and re-adding a teammate work.
•  Sent emails: the Details tab shows recipient, name, subject, status, mail type, related Project/Event, sent and created date and time, a Postmark ID, and delivery events (Delivered, Bounced, Opened, Clicked, or Spam); Preview shows the email as sent; Logs shows its activity log. See View Sent Emails in Sponsors and Submissions article.
•  Archived Projects: open one and use its three-dot menu to select Unarchive Project, returning it to your active Team Overview list. See Unarchive a Project in Sponsors and Submissions article.

Working Inside a Project or Event

This is where you'll spend most of your time. Opening a Project or an Event within it changes what the Main navigation shows, so you always have the right features for your current context.

From Team Overview, open a Project to drill into its work; its feature menu appears in the Main navigation. To narrow further, open an Event within the Project. The context selector at the top then shows both the Project and the Event. It's a clickable breadcrumb: click any step to jump to that level (for example, click the Project to step out of an Event). Team Overview itself is always available from the far-left rail.

The feature menu adjusts to whether you are working at the Project or Event level. Here's what's available and where:

Feature
What it's for
Summary
Progress and key details. (see list below for more info). Available at both Project and Event level
Events
The individual Events that make up the Project. Available at Project level only
Sponsors & Exhibitors
Everyone you've invited, with their status and task progress (click a row for their full record - see list below for more info). Available at both Project and Event level
Submissions
Every Form response, where you review, approve, or request changes. Available at both Project and Event level
Email Campaigns (Email Templates, Send Bulk Emails, Drafts, Sent)
Building and sending your own emails to Sponsors and Exhibitors, separate from the platform's automated notifications. Available at both Project and Event level. See Sponsor & Exhibitor Manager Email Campaigns for the full walkthrough.
Setup (Forms)
Build and manage the Forms that collect information from Sponsors (click one for its full record - see list below for more info). Available at both Project and Event level

More on what opens when you dig into these features:

•  Summary: at the Project level, has a Details tab (start date and time, end date and time, time zone, and Project name) and a History tab (a log of changes made to the Project). At the Event level, it has a Details tab (start date and time, end date and time, time zone, the parent Project name, and a list of the Forms in that Event) and a History tab (a log of changes made to the Event).
•  Sponsors & Exhibitors: click a Sponsor or Exhibitor's row to open their own record: a Send reminder button, a Details tab (email, status, organisation, Project, Events, invited date, invited by, accepted date, and accepted by), a Tasks tab (task name, status, submission, and a View Submission button per row), and a History tab. See View an Individual Sponsor Record in Sponsors and Submissions article.
•  Forms: click a Form to open its own record: a Details tab (status, due date, visibility, and the list of Sponsors and Exhibitors who can see it), a Fields tab, a Preview tab, a Submissions tab (scoped to that Form only, with the same status tabs, search, column filtering, and download available at Project/Event level, plus a Send reminders to all button and a Review button per row), and a History tab. See View a Form's Full Details in Sponsor & Exhibitor Manager Forms and Workflows article.
•  Events (from inside one): an Invite Sponsors & Exhibitors button sits at the top right, and a three-dot menu offers Edit Event, Invite Sponsors & Exhibitors, and Delete Event. See Edit an Event and Delete an Event in Sponsor & Exhibitor Manager Forms and Workflows article.
•  Email Templates, Send Bulk Emails, Drafts, and Sent: see Sponsor & Exhibitor Manager Email Campaigns for what each of these shows and how to use them.

Summary is a good place to start whenever you open a Project or Event: it gives you progress and key details at a glance, so you can see where things stand before diving into a specific feature.

Note: When you select a Project, an Events item appears in the Main navigation. When you select an individual Event, the Events item is not shown because you are already inside a single Event.

Switch Between Company Accounts

If you manage Sponsors for more than one company (for example, as an agency contact), you can move between those company accounts without signing out.

The company you're currently working in is always shown at the bottom of the far-left rail, as a thumbnail or initial, so you can see which account you're in at a glance.

1.  Click your account name at the bottom of the far-left rail
2.  Click Current Team
3.  Select the relevant company from the list

The Organiser View reloads in the context of the company you selected. You only ever see the data that belongs to the company you're currently in.

Your Account

Your account menu sits at the bottom of the far-left rail, where the company you're currently in is shown as a thumbnail or initial. Open it to see the current company's name, a dropdown to switch companies, Settings, and Log out.

Your account Settings contain:

•  Profile - update your name and email address, or delete your account
•  Password - update your password
•  Two-factor authentication - set up 2FA
•  Notifications - choose when automated email reminders are sent to Sponsors and Exhibitors with outstanding tasks. If you set nothing, reminders default to 14 days and 7 days before the due date
•  Integrations - connect your account with third-party services (on the roadmap; not yet available)
•  Appearance - choose a light, dark, or system theme

Note: 2FA can also be enforced for everyone in your organisation at once, rather than left as an individual choice. This is currently set up and managed by Jomablue admins on request. If your organisation has 2FA enforced, you'll sign in with a password plus an authenticator code, and if you've only ever used a one-time email code before, you'll be prompted to set a password the next time you sign in.

Where to Find Common Tasks

Use this as a quick locator: it tells you where each task lives. For the step-by-step, follow the linked article. “Open the Project or Event” means selecting it from Team Overview first, so the right feature menu is shown.

Navigation Tips

A few patterns make the interface easier to predict:

•  The Main navigation follows your context: If a feature looks missing, check where you are: at Team Overview, in Settings, inside a Project, or inside an Event using the context selector at the top.
•  Use the context selector to step back: From an Event, you can return to its Project without going back to Team Overview, and Team Overview and Settings are always available on the far-left rail.
•  Features are grouped, not flat: Forms sits under a Setup heading, and Email Templates, Send Bulk Emails, Drafts, and Sent sit under an Email Campaigns heading, rather than appearing as individual top-level items. If you're scanning the Main navigation top to bottom looking for one of these, check inside these groups too.

FAQs

These are interface and navigation questions.

Why has the Events item disappeared from my menu?

You're inside an individual Event. The Events item appears at the Project level only, since it lists the Events that make up a Project. Use the context selector at the top to step back to the Project, and it will reappear.

Why can't I see my Project or Event in the list?

Check the Past, Upcoming, and All tabs at the top of Team Overview. Upcoming is the default view. If a Project or Event doesn't have a deadline set, it won't appear under Upcoming; switch to All to find it.

Why can't I see a feature I expected to find?

It's almost always your current context. Many features only appear inside a Project or Event, or in Settings. Use the context selector at the top to check where you are, then open the right Project or Event. Less commonly, it may be related to your role. See the note under How the Organiser View Is Laid Out above.

Where can I see everything that's waiting for my review?

Open a Project or Event → Submissions and filter to Needs review. Check each Project this way to see what's waiting on you there.

Can I search for a specific Sponsor?

You can search for a Sponsor using the search bar in the Sponsors & Exhibitors section.

Where do my archived Projects go, and can I bring one back?

Archived Projects are kept in Settings → Archived Projects. Yes, you can bring one back: open the archived Project, click the three-dot menu, and select Unarchive Project. This will return to your active Team Overview list. See Unarchive a Project in Sponsors and Submissions article

If I delete a Project or Event, can I get it back?

No, deletion is permanent. There is no way to restore a deleted Project or Event. If you may need it again later, archive it instead of deleting it.

How do I know which company I'm currently working in?

The company you're currently in is shown at the bottom of the far-left rail, as a thumbnail or initial. Its full name also appears at the top of your account menu.

What time zone are dates and due dates shown in?

Time zone follows the Event's settings. See What time zone are due dates and reminders shown in? in The Sponsor Experience.

Where do I manage Form Templates and Themes?

In Settings → Content. Form Templates and Themes both apply across your account rather than to a single Project or Event, so they live in Settings rather than inside a Project.

How do I move between Projects and Events without going back to Team Overview?

Use the context selector at the top. It's a breadcrumb of where you are, and you can click any step in it to jump to that level. For example, click the Project to step out of an Event. To move to a different Project, return to Team Overview from the far-left rail and open it from there.

Where do I find a record of the emails the platform has sent?

In Settings → Sent emails. The list shows each recipient, subject, mail type, the Project or Event, the status, and the sent and created dates. See View Sent Emails in the Sponsors and Submissions article for what you can do from there.

How do I switch between company accounts?

Click your account name at the bottom of the far-left rail and select the relevant company from the dropdown. See Switch Between Company Accounts above.

Can I enforce two-factor authentication for everyone in my organisation?

Yes. This can be set up by Jomablue on request, applying to everyone in your organisation rather than being left to individual users. Once enforced, anyone signing in with only a one-time email code is prompted to set a password. See the note under Your Account above.

What happens to a teammate's record after I remove them?

It stays in your Team users list, marked as removed, rather than disappearing, so you keep a history of who's had access, and you can add them back at any time without creating a duplicate record. See Add a Teammate in Sponsor & Exhibitor Manager Forms and Workflows article for the full detail.

Where do I build or send emails to my Sponsors and Exhibitors?

Under the Email Campaigns group inside a Project: Email Templates to build a reusable template, Send Bulk Emails to send one, and Drafts or Sent to find one you've started or already sent. See Sponsor & Exhibitor Manager Email Campaigns for the full walkthrough.

Where can I get help if I'm stuck?

You can reach the Jomablue support team through the Jomablue help centre, which includes help articles and chat support.
