Get Started as a Sponsor or Exhibitor
If you've been invited to take part as a Sponsor or Exhibitor at an event, this article walks you through everything you need in your first few minutes: accessing your Dashboard, understanding what you're looking at, and knowing where to go next. No account, download, or password is required to get started.
Access Your Sponsor Dashboard
You'll receive an email invitation from the event organiser containing a secure, one-click link. This link is personal to you. There's no separate sign-up process, and you won't need to create an account or remember a password to get in.
Note: If you're expecting an invitation and can't find it, check your spam or junk folder before contacting the organiser. See I can't find my invitation email in Sponsor FAQ and Troubleshooting for what to check and why it happens.
The first time you sign in
When you click your invitation link for the first time, you'll be guided through a short onboarding flow:

If you already belong to another organisation or project in Sponsor & Exhibitor Manager, you'll land on a switcher screen first instead, showing everywhere you have work to do. See Viewing Task Lists Across Other Organisations and Projects in Sponsor FAQ and Troubleshooting for what that looks like.
The system will try to automatically fill in your company name and logo based on your email address. This works well for most established company domains. If your company isn't recognised automatically, you'll be asked to enter your company name and upload a logo yourself.
If your link has expired
Each invitation link stays valid for 7 days. It also only guides you through onboarding once. After you've completed onboarding, clicking the same link again won't repeat the onboarding steps (see Returning to your Dashboard below). If your link is older than 7 days, or a new one has been issued to you since, it will no longer work. If this happens, contact the event organiser directly and ask them to resend your invitation.
Returning to your Dashboard
Forgotten how to log in, or not sure how to get back in? Once you've accepted your invitation, you'll keep receiving emails as new tasks are assigned to you or reminders go out, and these already contain direct links back into your Dashboard.

Setting a password at this step is entirely optional. Selecting Skip for now doesn't affect your access. You can keep signing in with a one-time email code, and you can always set a password later from your account Settings if you change your mind.
Your Sponsor Dashboard
Once you're in, your Dashboard gives you a complete, at-a-glance view of everything you need to do.
The three widgets at the top
Note: Make 'Need your input' your first stop each time you check your Dashboard. It's the one widget that tells you where your attention is needed, whether that's a brand-new task or a returned one.
Your Tasks list
Below the widgets, you'll see every task assigned to you, with its name, current status, and a progress bar so you can see how far along you are at a glance. Each task also shows its own due date, if the organiser has set one.
You can complete your tasks in any order. There's no requirement to finish one before starting another. If you're working with colleagues, different tasks can be split between different people (see Invite a Colleague below).

Why You Might See More Than One Task
It's common to be assigned more than one task. Depending on how the organiser has set things up, you may receive:
These can also combine. For instance, you might complete one task covering your general company details once, plus a separate task for booth details at each individual event you're attending. If something looks unfamiliar or you're unsure why you've received a particular task, the organiser is your best first point of contact, since they control what's assigned to you.
Invite a Colleague
If different tasks suit different people on your team (for example, a marketing contact handling a logo upload while someone else handles on-site logistics), you can invite a colleague to help without needing the organiser to do it for you.
Your colleague will receive an email with a link to set up their own access.
Note: This gives your colleague access to the forms related to the specific event you were viewing when you sent the invite, not every event you've been invited to. If you're working across more than one event and need a colleague's help on each, invite them separately from within each event.
FAQs
Do I need to create an account or set a password?
No. You access your Dashboard through the link in your invitation email. Setting a password and enabling two-factor authentication are both optional and can be set up later from your account settings if you'd like extra security.
You may also be offered the option to set a password when you sign back in with a one-time code (see Returning to your Dashboard above); this is optional too, and you can select Skip for now to keep using one-time codes instead. Neither a password nor 2FA is ever required.
I'm invited to more than one event, do I need a different link for each?
No. If you've been invited to multiple events using the same email, you can switch between them from the account menu in the upper right corner of the Dashboard, using the same link and access.
I'm working across more than one organisation or project, how do I switch between them?
If you belong to more than one organisation or project, you'll land on a switcher screen automatically when you sign in, whether that's by clicking an invitation link, a link from any other email, or going straight to sponsorandexhibitor.com. If you only belong to one, you're taken straight to your Dashboard. I don't know how to log in - what do I do?
There's no separate login or password to remember. Go to sponsorandexhibitor.com, or click any link from a Sponsor & Exhibitor Manager email, and enter the email address your invitation was sent to. You'll get a one-time code by email to sign in with. See Returning to Your Dashboard above for the full walkthrough.
I clicked my invitation link again, and it says I've already responded. What do I do?
This is expected once you've completed onboarding. Clicking your original invitation link again takes you to the main page, team selection screen, or a login screen instead. Enter the email address your invitation was sent to and you'll be sent a one-time code by email. Enter that to complete sign-in and return to your Dashboard. What if my company isn't recognised automatically during onboarding?
You'll be asked to enter your company name and upload your logo manually. Everything else about your Dashboard works exactly the same either way.
Can I see what other sponsors or exhibitors have submitted?
No. You can only see your own tasks and submissions. Other sponsors' information is never visible to you.
Who do I contact if I have a question about a specific task?
